In Ascend, if your organization has multiple locations, you can now build and manage your organizational structure. You can define a hierarchy that reflects how your organization operates, with various business units grouped by geography, market, brand, specialty, and so forth. Then, you can assign each location to one of those business units within the hierarchy.
To configure an organizational structure
1. On the Settings menu, select Organizational Structure.
Note: This option is available only for organizations with multiple locations.
The Organizational Structure page opens.
Note: If the organization’s structure/hierarchy has not been configured yet, the page displays the organization root on the left and unassigned locations on the right.
2. To model your network (create regions, markets, or custom groupings and assign locations under the applicable units), do any of the following as needed:
Move all locations to the organization – Click MOVE ALL To ORGANIZATION (L0) (in the lower-right corner).
Add an organizational unit – With a level selected on the left, click + ADD UNIT (in the lower-left corner), and then enter a name for the unit in the editable box that appears.
Rename a unit – Double-click a unit’s name to make the box editable, and then change the text.
Delete a unit – Select a unit, and then click its trash can icon. You can delete a unit only if it does not contain other units. If you delete a unit that contains locations, those locations are moved back to the right.
Move a unit – Drag a unit by its handle to a different unit (at any level) to make the destination unit the parent of the unit being moved.
Move a location – Drag a location by its handle to a unit (from the right to the left, from one unit to another, or from the left to the right).
Notes:
Use the Search box at the top of the right list to filter the list to include only locations that match your search criteria.
Use the Search box at the top of the left list to filter the list to include the units and locations that match your search criteria. Any ancestor units of a matching unit or location are displayed. Any descendants (units and locations) of a matching unit are displayed.
Unit names must be unique across the entire organization.
Units can be nested up to five levels deep for each branch of the organizational tree.
A location can be assigned to only one unit (that unit can have ancestor units, of course).
Units and locations are automatically arranged alphabetically.
All changes are saved automatically.
Changes to the organization structure are recorded in the audit log.
Assigning rights to users
Now, you can assign rights to users according to the business units defined in your organization’s hierarchy.
To assign rights to a user
1. On the Settings menu, select User Accounts.
The User Accounts page opens.
2. Select a user account.
The options for editing the user account become available.
3. Select the User Roles & Locations tab.
Notes:
The existing role-location combinations from before this release have been preserved for the user.
The blue information banner appears at the top until you save the user’s account (from any tab, even if you haven’t changed the user’s role-unit/location assignments.
4. Do any of the following as needed:
For an existing role, select a unit (L0, L1, and so forth) from the Business Units/Locations list to assign all locations associated with that unit. Note: Selecting the L0 unit selects all locations in your organization.
For an existing role, to remove an assigned unit or location, click its X in the Business Units/Locations box.
To add a role-unit/location combination, click + Add Role.
To remove a role-unit/location combination, click its Delete button (trash can icon).
Notes:
On the Business Units/Locations list, you can search for a unit or location by name, and you can expand units to locate specific sub-units and locations. Also, locations that have not been assigned to a unit are listed under Unassigned Locations.
For this user, if a unit or location is selected for one role, it cannot be selected for another role. Similarly, if only some sub-units or locations are selected for one role, the parent unit of those sub-units or locations cannot be selected for another role.
5. If this user account is for a provider, the lower portion of the page displays each location (or the locations associated with each unit) selected in the Business Units/Locations lists. For each location, you can change the Charting Provider and Default Operatory.
6. Click Save.
Importing users from a file
As for setting up an individual user, the Roles and Locations step of the user import workflow uses a Business Units/Locations list for selecting units and locations. Selecting a unit gives every imported user that role at every location under the unit.
Effects of changing organizational structure on user access
With an organizational structure configured, be aware of the following effects that changes to the structure have on user access:
If you move a location from one business unit to another, any users who have not been granted access to the other business unit lose access to that location.
If you add a location to a business unit, any users who have been granted access to that business unit now have access to that location.
If you remove a location from a business unit, any users who have been granted access to that business unit lose access to that location.
